Meeting Minutes
Capture, organize, select, and safely update Meeting Minutes across personal, workspace, and Team directories.
Meeting Minutes keep collaborative Notes, meeting properties, linked context, recording recovery, transcripts, Actions, and Activity in one durable workspace object. A Meeting Minute can be Personal, Workspace, or Team scoped.
Pause and resume recording Editor
The recording timer shows microphone-active recording time. Choosing Pause releases the microphone and freezes the timer; time spent paused is not added to the recording. Resume continues from the frozen value, including after repeated pauses or a page reload. Other authorized viewers see the same duration but cannot control the host's recording.
Process the complete meeting Editor
When you stop a recording, Integrity automatically prepares the provider-final transcript. The Transcript shows Processing transcript and then replaces the live draft with the smoother final wording; you do not need to choose Process Meeting for this step. If final transcription cannot finish, the live draft remains available and an editor can choose Retry transcript. Mark reviewed appears only after final or human-owned wording exists.
This automatic step changes only the Transcript and removes its temporary audio. It does not generate an AI summary, change Notes, or create Issues.
After recording stops, Process Meeting uses both the complete transcript and the human-authored Notes written above the generated AI sections. Integrity labels those inputs separately, excludes earlier generated sections, and asks the AI to surface meaningful Notes/transcript conflicts instead of silently choosing one account.
Use Process notes for a Notes-only meeting. It does not add transcript content or reuse earlier generated sections as human evidence.
Use the main Meeting Minutes directory for Personal and Workspace records. Use a Team's Meeting Minutes page for records owned by that Team. Both directories support the same visible-row selection and command experience.
Organize a Meeting's Issues with views Editor Viewer
Open a Meeting Minute and choose Issues. All Issues starts with the shared default for that Meeting. Select a named view to apply its filters, display properties, grouping, and ordering. The selected view is included in the page URL, so copying or reloading the URL returns to that view when you can still access it.
Everyone who can read the Meeting may select shared views and keep a private draft of each view's controls. Editors can use Add view or Save as new to create a shared named view from the complete current table setup. Canceling returns to the source view without changing its draft.
If another editor updates the same view, a clean local draft adopts that update. If your draft contains changes, Integrity preserves the whole draft and offers Reset, overwrite, or Save as new. An unavailable or archived selected view falls back safely to All Issues.
A Meeting's Issue relationship is fixed context, not a saved filter. Saving a view never moves Issues between Meetings or grants access to an Issue.
Read and correct the transcript Editor Viewer
The Transcript tab joins short technical recording chunks into readable passages and presents them as one transcript document. Search matches complete passages instead of exposing provider commit boundaries. Use a passage's source segments action when you need its detailed timestamps or, with edit access, to correct an individual durable segment.
Both the Transcript tab and the compact drawer identify the wording you are reading:
- Live draft means final transcription is still pending or unavailable.
- Provider-final means Process Meeting applied the final transcription to the same canonical transcript revision.
- Human reviewed means an editor corrected wording or explicitly marked the current transcript reviewed. Provider processing cannot overwrite that human-owned text.
The full Transcript tab shows the current revision and lets an editor choose Mark reviewed. Open a passage's source segments to see the state and revision of its underlying rows. A failed or partial final transcription stays visibly Live draft; Integrity does not relabel provisional wording as final.
Recording audio is temporary processing material, not a retained attachment. It is stored privately with a short expiry, is never sent through Realtime or shown as a download, and is deleted after successful or terminal processing.
Selection lasts only for the current directory session. Changing the directory, saved view, filters, grouping, collapsed groups, or visible rows can clear or prune the selection.
Select Meeting Minutes Editor
- Select the checkbox beside each visible Meeting Minute you want to update.
- Hold
Shiftwhile selecting to include a visible range. - Use the checkbox in the header to select or clear all visible selectable rows.
- Open Actions, or right-click any selected row, to use commands for the complete selection.
Right-clicking an unselected row opens that row's own menu and does not replace your current selection. Hidden, collapsed, filtered-out, unreadable, or permission-denied rows cannot remain selected.
Apply selection commands Editor
The Actions panel shows a command only when every selected Meeting Minute supports it. The server checks the complete selection again before changing anything, so a stale, denied, or incompatible row stops the whole command.
- Reopen as Draft reopens a selection of manageable Final Meeting Minutes.
- Change Scope changes compatible active Drafts between Personal and Workspace scope. Team scope cannot be changed.
- Set meeting date changes the date while preserving each Meeting Minute's own local meeting time.
- Change Host lists only people who can host every selected Meeting Minute.
- Archive asks for confirmation and archives the complete selection or none of it.
While a command is running, the selected rows remain visible and dimmed. If it fails, Integrity keeps the selection and current values so you can correct the problem or try again.
Action availability follows each Meeting Minute's current permissions and lifecycle. Seeing a Meeting Minute never grants permission to change it.
Use one-row actions Editor Viewer
When exactly one Meeting Minute is selected, the Actions panel can also show Rename, Favorite or Remove favorite, and Copy URL. These single-record utilities do not appear for a multi-selection.
The unselected row menu and the detail-page ellipsis use the same property, utility, and archive vocabulary. Denied edit actions are omitted rather than shown as disabled choices. Viewers can still use available read-only utilities such as copying an accessible URL or managing their own favorite.
Review Activity history Editor Viewer
Open a Meeting Minute and choose Activity to discuss the Meeting and review durable lifecycle and property history. Everyone who can read the Meeting can choose All activity, Comments only, Mentions only, or Muted and can follow or mute an individual thread. Editors can post rich comments and replies; authorized managers can moderate threads. Comments support editing, reactions, resolution, and history, and use your account's comment submission shortcut. The comment composer appears above the combined comment and Activity timeline instead of repeating the Meeting title and Linked Context.
Scope, status, meeting date, Host, and archive changes retain event-time values. If a former Host is no longer available, Activity uses a safe historical fallback instead of exposing current restricted identity data.
Selection commands do not add a separate notification family. Their ordinary Meeting Minute Activity and existing private realtime updates keep the directory, detail, Favorites, and Activity readers current.
Generate and compare AI summaries Editor
On an editable Meeting Minute, choose Process notes or Process Meeting to open the processing dialog. Its AI model menu starts with Recommended, so you do not need to choose a model for the normal workflow. The full-width menu shows each approved model's provider mark, name, cost, and short description. You can choose another Meeting Notes model before confirming when you want to compare emphasis or detail.
The selection applies only to the confirmed processing request and resets to the current Recommended model after a reload. Integrity stores the model label with the generated result, never silently substitutes another model, and keeps Summary, Decisions, Actions, and Open Questions inside the existing review flow. Human Notes are not overwritten and Issues are not created automatically.
When a result already exists, Generated with identifies its stored model. The AI Summary card is result provenance only; the processing dialog controls the next request and does not relabel earlier output. A successful new request becomes the latest result; if that request fails, the existing result remains available.
After more than one successful generation, choose Previous summaries (N) to load an older result into the same card. The selected entry shows its model, generation time, Notes or transcript source, and whether it matches the current Notes. Both AI Summary and Recommended actions switch to that same generation. Older Recommended actions are view-only; choose Back to latest before creating, linking, dismissing, or restoring actions.
See Choose an AI model for selection, provenance, and unavailable-model behavior across Integrity AI and Meeting Minutes.
Mentions notify accessible people. Replies notify effective thread followers, and posting in a thread follows it automatically. Muting that thread overrides a broader Meeting Activity preference, while a direct mention still notifies you. Integrity does not notify you about your own action, reactions stay notification-free, and access loss or archive suppresses new delivery.
Comment, reply, and mention notifications use Inbox and your existing comment email preference without placing comment text in the notification payload. Semantic All activity notifications are Inbox-only. Meeting-specific recording takeover and processing-failure notifications keep their separate recipient rules.
FAQ
Why did some selected rows disappear?
Integrity keeps only rows that remain visible, readable, and selectable in the current directory state. A filter, group collapse, saved-view change, permission change, archive, or update from another session can remove rows from the active selection.
Why is an action missing?
Every selected Meeting Minute must support the action. Mixed lifecycle states, different scopes, insufficient permission, or an ineligible Host can make a command unavailable. Try a smaller compatible selection.
Does changing a date overwrite the meeting time?
No. Integrity applies the new calendar date while preserving each selected Meeting Minute's local time in your current time zone, including daylight saving transitions.
Can I bulk rename Meeting Minutes?
No. Rename is intentionally available only when exactly one Meeting Minute is selected.
