Archive and delete

Keep finished work as a readable record, restore it, or delete items you no longer need.

Archive keeps finished work out of active lists. You can still open it and read its content and history. Delete removes an item from everyday use and starts its recovery window. Permanent deletion cannot be undone.

What happens to each item

ItemArchiveDelete and recovery
IssuesFinished work archives automatically.Active Issue deletion offers Undo for 5 seconds. Bulk and archived deletion ask for confirmation; bulk active deletion then offers Undo. Restore deleted Issues for 30 days.
Projects and InitiativesFinished work archives automatically.Delete uses a confirmation. Deleted items can be restored for 30 days.
Meeting MinutesPeople with archive permission archive them by hand.Delete uses a confirmation. Restore from the same Minute URL for 30 days.
TeamsAuthorized Team managers archive them by hand. The default Team cannot be archived.Team deletion is not available.
Saved viewsUse Delete. New views do not have an archive action. The toast offers Undo for a few seconds. There is no deleted-views list.
FavoritesRemove the shortcut. The toast offers Undo for a few seconds. The original item is kept.

Seeing an item does not give you permission to archive, delete or restore it. Integrity shows the actions your current access allows. Archived content keeps its existing access rules.

Finished work archives itself

Automatic archive is on by default after 30 untouched days. Work must have a status in the Completed or Canceled category. Marking work finished does not archive it straight away.

Archive runs from the bottom up:

OrderWhat must be ready
1. IssuesThe Team's selected completed or canceled statuses qualify after its inactivity delay. Parents with active descendants wait.
2. ProjectsThe Project has been untouched for the workspace delay, and every linked Issue is archived or belongs to an archived Team.
3. InitiativesThe Initiative has been untouched for the workspace delay, and every member Project is archived.

For Issues, the clock follows the last update. For Projects and Initiatives, it follows meaningful activity, such as a status, property or body change. Opening or reading an item does not restart the clock. The daily archive jobs may take a day or more to process eligible work.

The release does not archive old finished work immediately. For settings turned on by the release, the default 30-day delay starts at release at the earliest. Turning automatic archive back on starts a fresh full delay too. Existing settings that were already on keep their schedule. Previously saved off choices stay off.

Change the delay or turn it off

A Team settings manager changes Issue automation under Team settings → Workflows & automations → Team auto-archive. Choose whether completed and canceled Issues qualify, set the delay, or turn off Team auto-archive.

Workspace administrators change Project automation under Workspace Settings → Projects → Statuses → Automation. Initiative automation is under Workspace Settings → Initiatives → General → Automation. Each has its own switch and delay. Supported delays are 1, 3, 7, 14, 30, 60 and 90 days.

The automatic archive notification

The responsible person gets an Inbox notification saying “X was archived automatically”. This is the Issue's creator, the Project's lead, or the Initiative's owner; Projects and Initiatives fall back to their creator when no lead or owner is set. The person must still have access to the item.

The notification's Restore link opens the archived page. Restore there when you have permission. Manual archive of a Meeting Minute or Team adds history without a new automatic-archive notification.

Find and open archived work

Open a list's top-bar … menu and choose Archived Issues, Archived Projects, Archived Initiatives or Archived Meeting Minutes. For Teams, open Workspace Settings → Teams → … → Archived Teams.

Archive lists use an address ending in /archived, after the list's normal address. Examples include /workspace/acme/projects/archived, /workspace/acme/teams/design/issues/archived, /workspace/acme/initiatives/archived, /workspace/acme/meeting-minutes/archived and /workspace/acme/settings/teams/archived. Team Projects and Team Meeting Minutes follow the same pattern under the Team's address.

On the Search page, choose Include archived. In the command menu, press ⌘ + K on Mac or Ctrl + K elsewhere, enter workspace search with Tab, then turn on Include archived. It starts off each time you open the menu. Deleted work never appears in these results.

Archived links still open from Inbox and linked work when you have access. Favorites for archived items stay hidden until the item is restored. Use its archive list or Search to find it. The normal page shows an archived banner, who archived it or that it was archived automatically, and its archive date. Content is read-only. You cannot edit, comment or reply while it is archived.

Restore archived work

Choose Restore in the archived banner when it is available. The item returns to active work with its previous status. Restoring a Project does not restore its archived Issues. Restore a Team before restoring one of its Team Minutes.

Restore starts a new inactivity delay for Issues, Projects and Initiatives. If you plan to work on the item again, change its completed or canceled status after restoring it. Restoring never replays old notifications.

Delete a saved view or remove a favorite

Choose Delete from a saved view's menu. The view disappears and the toast offers Undo for a few seconds. Deleting a shared view can affect everyone who uses it. Integrity asks for confirmation when it is a shared default, someone else's favorite, or has another subscriber.

Views stay stored for 30 days before cleanup, but the interface offers recovery only through the short Undo toast. Older archived views stay hidden; there is no Archived views directory. Deleting a view keeps the work it displayed.

Choose Remove favorite to remove your own shortcut. Undo restores it when the target is still available. This never deletes the original item.

Delete and restore a Meeting Minute

Open the Minute's … menu and choose Delete, then confirm. An archived Minute also offers Delete in its banner. People who may archive the Minute can delete it after recording, processing and uploads have finished.

The toast offers Restore briefly. Keep the Minute's URL: you can reopen it and use Restore in the deleted banner for 30 days. There is no deleted-Minutes directory. The countdown shows the remaining recovery time; the deleted page has no content editors or comments.

Restoring returns the Minute to its state before deletion. A Minute deleted from the archive returns to the archive. After 30 days, its Notes, transcript, AI content and audio are permanently removed. Linked Issues are kept.

For type-specific deletion rules, see Issues, Projects, Initiatives and Meeting Minutes.
